DANCE IN MOTION AND NORTHWEST DANCE PROJECT
GENERAL POLICIES and MEMBERSHIP AGREEMENT 

  • ATTENDANCE AND COMMITMENT
  • Dancers must attend their dance classes regularly. Dancers missing 3 or more consecutive classes (without a doctor’s note) may, at the discretion of the instructor, be excluded from competitive performances and/or the year end recital.
  • Please contact the office if your child will be absent from class.
  • If you wish to sit out of class you must sign “the book” at student services.
  • Commitment is mandatory at the competitive level especially attendance at all dance competitions. Competitive students are expected to make their participation a priority and must inform their instructors early in the year if there is a conflict.
  • The student and student’s parent(s) will be required to meet with student services to discuss commitment issues prior to any re-instatement. Students will only be reinstated at the discretion of the instructor, the artistic director, and student services.
  • Dance in Motion has the right to ask any dancer to leave if studio conduct and attendance cannot be followed.     
  • termination of contract
  • discontinuation forms must be filled out at student services by the student’s parent or legal guardian. Student services will notify the accounting dept. of the withdrawal and an adjustment to the student’s account will be made.
  • Verbal notification and non attendance are not considered automatic withdrawal.
  • There are no refunds of costume and competition fees after nov.1st  unless they are for medical reasons accompanied by a valid doctor’s note. Student services will notify the accounting dept. to  credit medical withdrawals for the remaining yearly tuition fees. first and last month fees are nonrefundable for any other withdrawals.
  • We reserve the right to cancel class or combine a class if the size is too small.
  • payment of fees
  • any amounts owing on accounts from prior dance years must be settled before registration into the current year. Please make an appointment with the accounting dept. if payment arrangements are required. Interest charges will apply to any payment arrangement.
  • All fees charged in the current dance year must be kept current.
  • Fees are based on weeks and divided by 10 months.
  • First and last month payment is due in sept. for recreational classes.
  • A 5% discount is available for clients who pay the yearly fees upon registration.
  • An installment payment plan is available for both  company and recreational dancers. The installment payment agreement must be signed by the student’s parent or guardian responsible for payment of this account.
  • Payments can be by cheque,  automatic withdrawal from bank accts. or credit card.
  • Terms of all invoices are due upon receipt.
  • There is an interest charge of 2% per month on overdue accounts charged on the 10th of each month.
  • NSF charges are $25.00 in addition to the interest charges above.
  • Delinquent accounts will become collectible as the company deems necessary which may include:

                 *  a friendly reminder *  a demand letter

  • the termination of the dance contract
  • small claims court                                                          
  • the services of a collection agency
  • Please keep all e-mail addresses current throughout  the year.
  • Holidays and Snow Days
  • Studio closures will be based on statutory holidays and spring break will be according to the chilliwack public school schedule.
  • Please check the website for all school closures! Snow Days will be updated on the website  and studio phone by 12pm that day.
  • Class Observation
  • Class observation will be at the discretion of the teacher and we ask that there are no interruptions of any classes.
  • The last week before Christmas holidays classes will be open for observation.
  • Studio Conduct
  • We expect our teachers, students and parents to abide by a code of conduct which exemplifies good sportsmanship and respect of one another at all times.

                      We will not tolerate gossip. And we ask that the studio  name not be used on the internet.

  • Please respect the dance teachers and their time. If you need to speak to one of the teachers, please go through Jo and set up an appointment to meet with one of the studio directors first. Class time is valuable and we need to respect this as well.
  • We expect that competition and theatre conduct is professional at all times. Respect for the theatres and other dancers is #1.
  • List of rules:
        • No running in the studio
        • No inappropriate behaviour or horsing around
        • Keep all personal relationship issues outside of the studio
        • Keep all valuables at home
        • Please clean up after yourselves
        • Please check lost and found
  • Dance in Motion has the right to ask any dancer to leave the studio if conduct and attendance cannot be followed. 
  • Choreography
  • The use of any group choreography outside of the studio for any reason other than a studio performance is strictly prohibited unless  formal written permission is granted by the choreographer.
  • Costumes/Competitions
  • Company Costume fees are due October 1st and November 1st. If you have more than one child please see Phyllis in accounting.
  • Company parents will meet with Jo in oct. by appt.  to discuss competition entry forms .
  • All recreational costume and Competition fees are due November 1st.
  • Extra fees
  • Dance in Motion tries to keep its rates and fees affordable however:
        • There will be a $15.00 theatre fee
        • There will be $2.00 charge per entry for competitions
  • Dress Code
  • We are implementing a strict dress code for all dance classes. Any student not wearing specified dance attire may not be permitted to participate in class. As discipline is a vital aspect to dance training, we are asking the parents to cooperate in helping us  to implement these rules.
        • Hair must be neatly pulled up off the face for all classes either in a pony tail, braids or a bun ( a bun is mandatory for all ballet classes). Teachers may allow the hair to be down for some choreography classes.
        • Absolutely no baggy street clothes in technique classes.
        • Proper footwear is also necessary for all classes. Please no outdoor shoes inside the studios.
        • Please check the studio brochure for attire.
  • Outside training
  • Dance in Motion will not accept a student who is currently enrolled in another dance studio unless it has been approved by the studio directors.                                                                                                                            
  • Photography
  • Dance in motion and Northwest Dance project reserve the right to use any dance related photos of their students for their website and/or advertising purposes.

DANCE IN MOTION AND NORTHWEST DANCE PROJECT WAIVER FORM

THE FOLLOWING DESCRIBES THE TERMS ON WHICH DANCE IN MOTION AND NORTHWEST DANCE PROJECT OFFERS YOU ACCESS TO OUR SERVICES.

I wish to participate in a dance and/or fitness class at DANCE IN MOTION and NORTHWEST DANCE PROJECT. As a condition of DANCE IN MOTION and NORTHWEST DANCE PROJECT agreeing to allow me to participate in such a dance and/or fitness class, I hereby confirm and agree to the following:

  1. I recognize that the dance and fitness classes of the type I intend to participate in at DANCE IN MOTION and NORTHWEST DANCE PROJECT require physical exertion, which may be strenuous and may cause physical injury, and I am fully aware of the risks and hazards involved.
  2. I represent that I am physically fit and have no medical condition that would prevent my full participation in any such fitness or dance class.
  3. I agree to take full responsibility for any risks, injuries or damages known or unknown which I incur, or may incur, as a result of participation in any class at DANCE IN MOTION and NORTHWEST DANCE PROJECT.
I knowingly and voluntarily waive any and all claims I have, or may at any time in the future have, against DANCE IN MOTION and NORTHWEST DANCE PROJECT or any of the instructors, agents, or employees, for any injury or damage that I sustain as a result of my participation in a class at DANCE IN MOTION and NORTHWEST DANCE PROJECT
